Franchise Onboarding System

02 PROJECT DETAILS

Spinco faced major challenges in onboarding new franchise locations. The process was managed primarily through emails, spreadsheets, and scattered documents, leading to delays, missed steps, and a process that was unscalable when managed by a single person.

I designed and built a Franchise Onboarding System in Airtable, capable of handling 20+ new franchises per year (and scalable to more). The system covers the full onboarding lifecycle:

  • Application Tracking & Financial Approvals: Franchise applications logged and processed with automated checks and approvals with 100+ applications per year.

  • Build-Out & Launch Management: Every stage from real estate, construction, and marketing to final launch is tracked.

  • Automated Workflows: Document requests, reminders, conditional approvals, and notifications were automated, reducing manual follow-up.

  • Comprehensive Tracking: More than 150 steps per franchise are monitored in Airtable, ensuring nothing is missed.

  • Leadership Visibility: Dashboards gave executives a real-time overview of each franchise’s progress, bottlenecks, and readiness to launch.

The system not only replaced a patchwork of tools but also made the onboarding process scalable, transparent, and efficient.
