Payroll System Automation

01 PROJECT GOALS

  • Replace manual Excel-based payroll tracking with an automated solution

  • Reduce processing time and errors in payroll calculations

  • Provide HR and Finance with reliable reports and transparency for management

02 PROJECT DETAILS

Payroll for 30–40 employees was previously managed entirely in Excel spreadsheets, requiring extensive manual tracking. The process was time-consuming, error-prone, and lacked visibility for management. Processing payroll for all employees took about two full days every two weeks.

I designed and implemented a custom Airtable payroll system that automated nearly the entire workflow:

  • Automation of payroll calculations: Salaries, overtime, vacation days, sick days, and lunch hour adjustments.

  • Integration with Make.com: Automatically generated and sent the correct templates to Desjardins for payroll submission.

  • Reporting for management: Built dashboards and reporting tables, providing HR, Finance, and leadership with transparent, real-time payroll and labor cost insights.

  • Bi-weekly operation: The system managed ~150 hourly records every two weeks, in addition to salaried employees.

The new system reduced the payroll processing time from 2 days to just 2 hours, while ensuring higher accuracy and freeing HR/Finance staff to focus on higher-value activities.
