System Migration & App Launch

01 PROJECT GOALS

  • Modernize b.cycle’s operational infrastructure and replace legacy systems

  • Launch the first-ever b.cycle mobile app to give clients a unified, modern experience

  • Rebuild and automate core processes across reservations, memberships, and performance tracking

  • Strengthen data integrity and improve long-term scalability for studios, staff, and clients

  • Support internal teams with new workflows, documentation, and tools adapted to the new platform

02 PROJECT DETAILS

In Fall 2025, b.cycle initiated the largest operational change in its history: a complete migration of its booking, scheduling, membership, and performance-tracking systems — paired with the launch of the very first b.cycle mobile app.

I led the technical and operational design of the migration, which required reconstructing nearly every workflow that powers daily operations across all studios.

The scope was significant:

  • ~1,000,000 reservation records

  • 50,000 client profiles

  • 30–50 custom workflows and automations rebuilt

  • Full integration between Mariana Tek, Airtable, Make.com, internal dashboards, and the new app

Departments involved included operations, management, instructors, marketing, and finance, all of whom needed new processes, documentation, and training to operate within the transformed ecosystem.

This migration required re-engineering membership logic, syncing performance metrics, adapting to features missing from the new platform, and designing custom automation layers to ensure everything functioned the way b.cycle needed.

All of this was delivered under a fixed launch date — requiring tight project coordination, rapid iteration, and continuous support.

03 TOOLS USED

04 PROJECT OUTCOME

Although we are currently in the problem-fixing and fine-tuning phase post-launch, the early results are extremely promising:

  • ~2,000 app downloads in the first days

  • Significant reduction in manual work across operations and front-of-house

  • Dozens of previously manual workflows fully automated

  • Improved clarity and consistency of membership and reservation logic

  • A stronger, scalable foundation for future growth and feature development

This transformation has already unlocked capabilities that were not possible under the old system.


Looking Ahead

With the new app and operational infrastructure now in place, we’re already exploring new features such as:

  • Milestone challenges and gamified engagement

  • Enhanced analytics for instructors, studios, and management

  • New instructor tools to improve coaching, evaluations, and performance tracking

  • Additional capabilities that will continuously elevate the client experience

This project has been a major learning journey — technically, operationally, and strategically — and there is much more to come.
